AutoCAD Tip: Send a Drawing in MS Word

Back in the good ol' days -- around AutoCAD R14 -- I had a customer whoneeded to review DWG drawings but didn't have AutoCAD or a DWG reader.I needed a workaround. I knew that if all else failed I could use PrintScreen, but I didn't want to send him the entire screen image -- justthe details I needed to share. I also tried to copy/paste a portion ofone AutoCAD file into another AutoCAD file, but that grabbed too muchinformation as well. I did a lot of trial-and-error until I found thistechnique. I've used it many times since.This short tutorial demonstrates how you can useMicrosoft Word (and some other word-processing systems) to deliver atidy rendition of your DWG drawing, or portion of a DWG, to anyone whootherwise lacks the tools for easy DWG review. Your customer won't needto download any special file viewers, and he or she can use Word'sDrawing toolbar options to place comments and arrows on your drawingand send it back.
How-To
Follow these steps toinsert a DWG (or portion of one) into an MS Word document to share witha non-AutoCAD user. The process might sound a bit quirky, but I'vefound only these exact steps to produce the exact results I need. Youmight find through experimentation that a modified approach works foryou.
[/align][list][*]Maximize the drawing or detail of the drawing that you want to send-- that is, fill the screen with the image you want to share.[*]Turn the background white using AutoCAD's Options command.If you leave the background black, you'll get a black background whenyou paste the drawing in Word.[*]Restore Down the AutoCAD program window. (Restore Down isthe function that shrinks an open window. It is located in the very topright corner of each window, the middle button beside the Close "X".)Be aware that you have two Restore Down options in the top right corner-- one for the open file window and one for the AutoCAD program itself.For this purpose, you'll want to Restore Down the [i]AutoCAD program window[/i] -- that is, the one at the very top of your screen. Note that the process works regardless of which window you actuallyshrink, but if you Restore Down the file window instead of the programwindow, you'll capture extra white space beside your drawing. When youpaste the drawing into Word, that extra white space will take over aportion of the Word document that you might prefer to leave free fortext.[*]Adjust all the borders of your window in or out until thedrawing detail you want is exactly contained within all four borders.The more precise you are, the less unwanted detail you'll capture.[/list][align=center][table][tr] [td][img=390,208]http://management.cadalyst.com/cadman/data/articlestandard/cadman/112007/410528/fig1.gif[/img]
Aboveis an example of the drawing you'll copy if you Restore Down just thefile window in AutoCAD and copy the drawing, resulting in extra whitespace to the right.

Whenyou Restore Down the AutoCAD program window, you'll be able to capturejust the portion of your drawing that you wish to share, and nothingmore.
[/td][/tr][/table][/align][list][*]Now, select Ctrl+C, then All, Enter to select all objects on thescreen. You would expect AutoCAD to capture all drawing details,including those off the screen, but it doesn't.[*]Open a Microsoft Word (or another word processor) documentand place your cursor where you want the drawing to be placed. SelectPaste. Your drawing pops into the Word document.[*]Now you can place text or other images above and below thedrawing in the file. If you prefer, you can enable text to wrap aroundthe sides of drawing rather than just above and below it. Go to theDrawing toolbar (View menu/Toolbars/Drawing) and select the Text Boxtool to put a text border around the item. Now you can also move thedrawing around the document. This simple extra step is very helpful inthe long run.[*]Put any final touches on the file and send it away forreview or other file-sharing purposes. Recipients can easily view thedrawing details and, if desired, use Word's Drawing toolbar options,including the Text Box and Arrow tools, to mark it up.[/list]Note that you also can size the Word document to fit any size of paper that the recipient has the capability to print.
